1. Who we are
Job Offer Desk (“we”, “us”) provides software that helps companies create, review, sign and store job offers. This policy explains what personal data we process and why. For any questions, contact us at the email in the “Contact” section below.
2. Data we process
- Account data — the email address and password (hashed) of users who register, and their organisation and role.
- Offer content — the information you enter into offers and templates, which may include the personal data of candidates (name, email, salary, position, dates). You provide this data as the controller; we process it on your behalf.
- Signature data — the drawn signature image and timestamp when a candidate signs an offer, and the resulting signed PDF.
- Usage data — basic technical logs needed to operate and secure the service.
3. How we use data
We use personal data to provide the service: to let you create and manage offers, to send transactional emails (invitations, signature requests, signing confirmations, password resets), to process payments, and to keep the service secure. We do not sell personal data.
4. Legal basis (GDPR)
Where the GDPR applies, we process personal data on the basis of performance of a contract (providing the service to you), our legitimate interests (operating and securing the service), and your consent where required. For candidate data you upload, you are the data controller and we act as a data processor.
5. Sharing & sub-processors
We use trusted providers to run the service, which may process data on our behalf: our hosting and database provider, our email delivery provider, and — if you enable it — a third-party e-signature provider (e.g. DocuSign). These providers process data only to provide their service to us.
6. Storage & security
Data is stored with our hosting provider and protected by access controls. Signed offer documents are kept in private storage accessible only to members of the owning organisation. No method of transmission or storage is completely secure, but we take reasonable measures to protect your data.
7. Retention
We keep account and offer data for as long as your account is active or as needed to provide the service, and as required to comply with legal obligations. You can request deletion of your data as described below.
8. Your rights
Depending on your location, you may have the right to access, correct, delete, or export your personal data, and to object to or restrict certain processing. To exercise these rights, contact us at the email below.
9. Cookies
We use only the cookies and local storage strictly necessary to keep you signed in and to operate the service. We do not use advertising cookies.
10. Changes
We may update this policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
